PropTech for Facility Managers: Tracking Maintenance Issues Remotely

For the facility manager, a maintenance issue used to commence with a phone call, a handwritten note, or an email lost in an inbox. Today, the first response might come from a sensor, a tenant app or a QR code attached to a piece of equipment, and the whole job can be handled without the facilities team ever setting foot on site.

That is the practical promise of PropTech: not to replace maintenance professionals but to give them a reliable digital record of what is failing, where it is happening and what should happen next.

A modern computerised maintenance management system (CMMS) can combine work orders, asset registers, floor plans, contractor details and service histories all in one place. Staff can log an issue from a mobile device, attach photos or video, identify the affected asset and track the job from assignment to completion. Managers can track progress remotely and see if a problem is isolated or part of a larger pattern.

The value is operational discipline. A ticket has a timestamp, location, priority and accountable owner that makes it harder to lose than an email. Critical repair not done automatically alerts manager. Digital histories also show us repeated failures: the same air-handling unit, pump or lift may be generating repeated work orders long before anyone spots the pattern.

Sensors extend that reach. Temperature, humidity, vibration, power consumption and water-flow devices can raise the alarm on abnormal conditions before they are reported by occupants. This enables condition-based maintenance, which means servicing equipment according to its actual condition, not just at fixed intervals. It can cut back on unnecessary inspections and help teams focus on the assets most likely to fail.

The stakes are enormous. According to the International Energy Agency, buildings account for around 30% of global final energy consumption and 26% of energy-related emissions. So maintenance data can assist with not only uptime, but energy management. A faulty control valve, or an underperforming chiller, is a service problem and a potential source of avoidable consumption.

But remote tracking is not the same as remote servicing. Sensors can generate false positives, disconnected devices create blind spots and poorly configured platforms create noise, not insight.

Cybersecurity is also key: connected building systems can create new attack surfaces, particularly when vendors have remote access.

The best implementations start with a narrow operational problem: response times, reactive HVAC work or compliance inspections. Managers should set service level targets, standardise asset names and require technicians to close jobs with useful evidence: the cause, what was done, parts used, follow-up required.
